Changing Contracts Terms using Batch Update facility
If you wish to increase prices or change the service level, or end the
contract and start a new contract with new terms. conditions and prices for a
range of contracts/subscriptions at one time this can be achieved using the
Batch Update Facility
Step A :
1. Open the Renewal Manager
2 Select the records you wish to apply the change to
3. Click the Batch Update Icon
To select non continuous rows - hold the Ctrl key down and left mouse click on various records/rows
To select continuous rows - click on the first row/record , hold down the Shift key and click on the final row/record in the target range
Use the Quick Filter for Renewals Any month to return all those that are due renewal in any one month or Quick Filter - Invoices Due Any Month for all those due to be invoiced in any one month
Complete the details of the Change / increase you wish to apply page on teh following page
1. Tick or Untick the Terms to change the Service Level details for the contracts / subscriptions selecting the desired action
- So for example if you wish to update the price of a contract by taking the latest prices held In Service Levels for that recoird select item 6
2. Tick or Untick Price if you wish to increment the value of the different elements of the contract. You can enter the increment/decrement in % or £s by changing the Mode slider.
3. Tick or Untick the Date if you wish to end the current contract and start a new contract (ticked) indicating the date you wish to do that.
Ensure you have completed invoices up to the period prior to your date of intended price increase
Ending
an existing contract and then starting a brand new one using the Date
feature is recommended as it then allows you to see the full
history/audit trail of price changes
It is a good idea carry out a test Price rise before you undertake the change. Once you have applied the change you are unable to roll back in batch; you would have to roll back individually so completing small batches is also recommended to ensure you have your increase parameters correctly set
